What personal data Quick-Off collects on quick-off.com, how we use it, and how to exercise your rights.
About this policy
Who we are
Quick-Off helps event organizers run smoother events. We build Qoezion, for managing volunteers and staff, and Qomeet, for accreditation and access control. Our website, www.quick-off.com, showcases these solutions and the hands-on support we provide.
What this policy covers
This policy explains what personal data we collect on quick-off.com, how we use it, and how you can exercise your rights.
The Qoezion and Qomeet applications each have their own privacy policy.
We take data protection seriously and handle your data lawfully and transparently. We may update this policy from time to time to keep it in line with regulatory requirements.

The data we collect
At a glance
There are no user accounts on our website. We only collect what you share with us through a form, audience data if you agree to it, and the technical logs every website keeps. This covers:
- Identity data (first name, last name, organization)
- Contact details (email address, phone number)
- Online identifiers (IP address, cookie ID)
- Usage data (pages visited, device and browser type)
Fields marked with an asterisk are required: we need them to send you the document you requested or to get back to you. Everything else is optional.
Here is how we use this data.
Newsletter and resources
When you sign up for our newsletter, we collect your first name, last name and email address so we can send it to you. When you request our booklet, we use the same details to email it to you.
When you download our study or one of our guides, we collect your name, email address and organization. We use them to send you the document, followed by content tailored to your interests.
Contact requests and expert calls
When you reach out through our "Contact us" form, we collect your organization, name, email address, phone number (optional, if you would like a call back) and a description of your project. When you book a call with one of our experts, we receive your contact details and the time slot you picked. We use this information to answer your request and prepare for the call.
Audience measurement
If you accept analytics cookies in our cookie banner, we use Google Analytics to understand how visitors use the website: pages viewed, navigation paths, device and browser type. This helps us keep improving the website.
Cookies
We never use advertising or social media cookies. We only use:
- essential trackers, which remember your cookie preferences and cannot be turned off;
- analytics cookies (Google Analytics), which are only set if you agree.
If you visit from the European Economic Area, the UK or Switzerland, analytics stay off until you make a choice. You can change your preferences at any time using the cookie icon at the bottom right of every page.
Technical logs
Like any website, our hosting provider keeps technical logs (IP address, date, page requested, browser) to keep the website secure and running smoothly.
Legal basis
- Newsletter, resources and audience measurement: your consent;
- Contact requests and expert calls: steps taken at your request before entering into a contract, or, for requests unrelated to a project, our legitimate interest in replying to you;
- Technical logs: our legitimate interest in keeping the website secure.
Who has access to your data
Your data is used by the Quick-Off sales, support and marketing teams. We never sell or rent it to anyone.
We also rely on trusted service providers who process it on our behalf and only on our instructions:
- Website hosting: Amazon Web Services
- Newsletter and booklet forms, email delivery: Mailjet
- Contact and download forms: Pipedrive
- Call booking: lemcal
- Audience measurement: Google Analytics
Each provider's page explains how it handles data and where it stores it.
Where your data is hosted
Our website is hosted in the AWS Europe (Paris) region, in France.
Transfers outside the EU
Google processes audience data in the United States. This transfer is covered by the European Commission's adequacy decision of July 10, 2023 (EU-US Data Privacy Framework).
If any other provider processes data outside the EU, the transfer is protected by an adequacy decision or by the European Commission's standard contractual clauses. You can request a copy of these safeguards from our Data Protection Officer.
Record of processing activities
As required by Article 30 of the GDPR, Quick-Off keeps a record of the personal data processing it carries out as data controller. This record is available to the CNIL, France's data protection authority, on request.
How we protect your data
Security measures
Quick-Off puts appropriate technical and organizational measures in place to protect personal data, in line with current regulations. Only authorized staff, bound by confidentiality obligations, can access it.
How long we keep your data
We keep newsletter and resource subscribers' data until they unsubscribe or ask us to delete it. Every email includes an unsubscribe link.
We keep data from contact requests, study and guide downloads, and call bookings for up to three years after our last interaction.
Your rights
How to exercise your rights
You have the following rights over your data, which you can exercise with Quick-Off as data controller:
- Access and correct your data
- Have your data erased
- Restrict how we process it
- Object to its processing
- Receive your data in a portable format, for data you gave us based on your consent or a contract
- Withdraw your consent at any time, for processing that relies on it
- Set instructions for what happens to your data after your death
Opting out of marketing: you can stop receiving our marketing emails at any time, no questions asked, by clicking the unsubscribe link in any email or by contacting us.
We reply within one month. For complex requests, we may need up to two more months, in which case we will let you know within the first month.
You can also file a complaint with the CNIL, France's data protection authority, especially if you feel your rights have not been respected: www.cnil.fr.
Quick-Off may turn down requests that are clearly unfounded or excessive, for example because they are repeated. If so, we will explain why within one month and remind you of your right to complain to the CNIL and to take legal action.
